Policies and Procedures

At Oregon Athletic Clubs (OAC), we constantly work towards maintaining our attractive, comfortable and safe atmosphere in order to best serve our diverse membership. An important component of that is our members' assistance in following the policies and procedures we have set forth. Thank you for taking the time to review these and helping us create the best facility around! Of course, if you have anything you would like to clarify or discuss, please contact our general manager or any members of our management team. 


General Procedures

Attire

Appropriate attire worn by all of our members, guests and employees is critical to maintaining a safe and pleasing environment for everyone. When working out, clean and comfortable athletic wear is best. Shirts and shoes must be worn in all areas of the club and open-toed shoes are prohibited in the weight room. Only court shoes are allowed on the courts, in the gymnasium and in the main studio. Other types of shoes mark the floors and are restricted in these areas.

Bicycles

Bicycles must be locked in the bicycle racks provided outside the facility, or in a rented bicycle locker. For safety and comfort reasons, bicycles are not allowed inside the club and should not be locked to other fixtures, such as railings, poles or fencing. All wheeled equipment, such as skateboards and roller blades, must be carried, not ridden, inside the club.

Cell Phones

For safety and comfort reasons, cell phone usage is restricted to the restaurant and front desk/lounge areas. Cell phone usage is not permitted in any of the fitness activity areas of the club. The club provides house phones for use throughout the facility. In consideration of other members, please limit calls on house phones to 2 minutes.

Change of Address

Please notify our business office, in writing, of any change of address within thirty (30) days.

Charging Privileges

For the convenience of our members, all individuals named on an account may charge food, services, childcare and items from the Proshop to their account. All in-house charges will be included in the monthly statement amount.

Comments and Feedback

Oregon Athletic Clubs welcomes and encourages feedback from our members and guests. A suggestion box and forms are located at the front desk. Please be sure to indicate if you would like us to contact you regarding any concern or compliment. We also welcome emails, phone calls and personal conversations with any of our staff. We want to hear what you have to say!

Conduct on Club Premises

The behavior of individuals within our facility reflects back on the club as a whole. All members and guests must conduct themselves in a manner consistent with reasonable, intended use of the club facilities. Members who behave in a manner that is detrimental to the facility, the welfare of the others, or in general damages the reputation of the club may have their membership terminated upon sole discretion of the club management. The use of profanity will not be tolerated. No individual shall engage in any unlawful activities on club premises.

Closures

OAC may close during severe weather, natural disaster or upon the request of the local governing bodies. During times of maintenance and repair, part or all of the club may be closed for the safety of members and staff. Specific areas of the facility may also close for special events designed to serve our membership and organization. Any such closures will be posted in advance. In the event of an entire club closure, information will be posted regarding the availability of reciprocal clubs.

Damages

We ask that our members do not bring in any of their own athletic equipment when this equipment carries risk of physical harm to an individual or the facility (for example baseball or golf equipment) or if the equipment is equivalent to that which OAC offers (for example basketballs). Such equipment brought into the facility will be held at the front desk for the duration of your time in the club. Please ask at the front desk if you have any questions on a given piece of equipment.

Gift Cards

Gift cards are available in any denomination for all goods and services provided. They may be purchased at the front desk, and may be paid for directly or by charging the amount to the member's account. Gift cards are non-refundable.

Guests

Club passes are available for your convenience at the front desk. Members who are 18 years or older may bring a guest. Guest fees may be paid by cash or charged to the member's account. Please ask at the front desk or membership office for the current guest pass fee structure. Each guest is limited to a maximum of two (2) visits per month and must be accompanied by the member. One-week and temporary memberships are available and can be purchased through the marketing department.

Lost and Found

All lost and found articles must be claimed in person. Lost articles are held for a maximum of thirty (30) days, after which OAC will donate all unclaimed items. Contact the front desk for assistance in claiming your lost articles.

Member Check-In

All members must present their membership card to the front desk each time they access the club. A permanent membership card or number must be issued before charging privileges are allowed. If a membership card is lost, a new one may be requested at the front desk. A small fee is charged for all lost cards. Children under the age of 9 are not issued a membership card. Children ages 9 to 16 may have their own membership card but must check in with an adult. Please see Youth Policy information for more details.

Notices

Any notice pursuant to these rules and regulations or the Membership Agreement shall be addressed via OAC newsletters, statement stuffers, internet postings or sent to the member at the address included in the Membership Agreement.

ProShop Return Policy

Unused items may be returned within thirty (30) days when accompanied by the original receipt. We cannot refund cash for these items. The refund amount will be credited to the member's account.

Smoking

For the health and comfort of all, Oregon Athletic Clubs are non-smoking facilities. This includes all of our indoor and outdoor areas.

Suspension of Membership Privileges

Membership privileges may be suspended if a member has violated any of the OAC rules or regulations, including if charges are thirty (30) days or more overdue. Membership accounts ninety (90) days past due will be cancelled and sent to collection. Reinstatement of cancelled memberships will occur only upon payment in full of all overdue amounts, all late fees and the reinstatement fee.


Membership

Individual Membership

Individual members are individuals 18 years or older, whether married or not. Spouse and children, if any, shall not be entitled to the rights and privileges of this class of membership with the following exceptions: as a paying guest (guest policy applies) or by paying additional monthly dues. This dues rate differs for dependent children 17 and younger, and dependent children aged 18-22.

Couple Membership

A couple membership shall be defined as two adult individuals residing at the same address. Proof of residence is required.

Family Membership

A family unit shall be defined as any two adults over the age of 18 who are in a committed relationship and who reside at the same residence and includes dependent children or stepchildren under the age of 23 living with parents. Upon their 23rd birthday, the formerly dependent child may transfer their membership to an individual membership for a transfer fee. Arrangements can also be made to give membership privileges to non-familial individuals who live at the same residence full-time, such as childcare providers.

Platinum Membership

Oregon Athletic Clubs is pleased to be able to offer a joint membership program with all of its facilities: RiverPlace Athletic Club, Hawthorn Farm Athletic Club and the Bethany Athletic Club. This membership is perfect for individuals who live in one location and work in the other!

Reciprocal Clubs

OAC is a member of the International Health, Racquet and Sports Association (IHRSA), which affiliates quality clubs and allows OAC members to access their clubs throughout the US, Canada, South America, Europe and Asia. Facilities and guest fees vary and IHRSA passports are available for purchase at the front desk. Another reciprocal program available to our members is FitLife. Perfect for our members who travel in the Northwest, FitLife offers you an opportunity to work out in other participating clubs. Contact the membership office for your FitLife pass, which is valid for two weeks at a time. When traveling 30 miles from an Oregon Athletic Club, you may use the other participating clubs at no cost to you. If traveling between 7-30 miles, you may use a three (3)-visit pass per month. A fee at visited club may apply.

OAC Changes of Membership Category

All requests for membership cancellation or changes must be submitted to our business office in written form. OAC cannot accept responsibility for account changes of any kind without a written request. Thirty (30) days notice is required for cancellation.


Billing

The business office oversees such services as member cards, personal locker rentals, leave of absence, and upgrades and downgrades to member accounts, dependent and nanny dues and cardiac wellness dues. Should you have any questions or needs, please contact them in person, by phone, or by email.

The OAC business office hours of operation are from 8am-5pm Monday-Friday. We are closed Saturdays and Sundays. The billing cycle ends on the 10th of each month. Dues for each succeeding month, as well as all open charges from the previous month, are compiled (i.e., cafe, massage, spa, pro shop, guest fees, tanning, childcare, personal training, aquatic lessons, youth programs or squash) and recorded. Statements are sent between the 10th and 12th, depending on weekends and holidays. Payment is due upon receipt of the statement, unless other arrangements such as electronic funds transfer or credit card billing have been made. Members may have front desk attendants drop payments in the payment box or may bring them into the business office.

Late Fees, Returned Checks, Etc.

Accounts not paid in full by the 7th of the following month will be assessed a late fee. There will be an NSF fee on all returned checks or declined credit cards.

Credit Card Billing (autobill)

Autobill is a payment option which bills a member's credit card, and payment from the credit card company is made to the club. This process is currently run on the 20th of the same month for which the statement is generated (For example, if a statement date is 9/10, then the autobill is processed on 9/20).

Electronic Fund Transfer (EFT)

EFT is a payment option that transfers funds from a member's checking accounts to the club. This process is currently run on the 5th of the month for the statement amount generated in the previous month (For example, if a statement date is 9/10 then the EFT is processed on 10/5).

Leave of Absence

Leave of absence privileges are available to members once a member has completed their first year. A leave of absence may be taken for up to a maximum of six (6) months and a minimum of one (1) month. Monthly dues will be reduced but not eliminated or pro-rated while on a leave of absence. Member may not access any portion of the club while on leave of absence status without paying a guest fee. Leave of absence may be exercised for medical-related reasons with written notice from a treating physician indicating length of time the member will be unable to use the facility or for a work-related leave of absence due to extensive travel. Forms for leave of absence are available in the business office and marketing department. These must be submitted before the LOA is to begin.

Refund Policy

The following policies and procedures should be followed when requesting a refund for any club activities:

Services, Including Spa, Personal Training, Swimming Lessons and Pilates Classes:
Please give twenty-four (24) hours advance notice to your instructor, service provider or program head if you will not be attending a given session. You will be billed 100% for any session where you have failed to give twenty-four (24) hours advance notice.
Special Activities, Athletic Events and Seminars:
Policies vary by event. A full refund for any deposit will generally be granted when a cancellation is made at least twenty-four (24) hours in advance. Please check with the front desk when registering for the specific policy. Cash refunds will not be made. All refunds will be credited to your account.
Youth Programs:
Generally, a full refund will be given if notice of cancellation is received at least fourteen (14) days prior to the start of an event. Half of the original price will be given to the participant if notice of cancellation is received up to three (3) days prior to the start of the event. No refunds will be given less than three (3) days prior to the event. Individual event refund policies may vary. Please check with the front desk or youth program coordinator when registering for the specific policy.
